How to get crew-log printouts into ForeFlight or LogTen

Crew-log printouts list every leg, but not the way a logbook app wants them. Here is how to move years of printouts into one file you can import, and check it before an interview.

Why printouts are harder than they look

A printout is made for the company, not for your logbook. Most of them:

  • Use three-letter airport codes, while logbook apps match on four-letter ICAO codes.
  • Show times in UTC and list block time, sometimes with no separate flight time.
  • Name a fleet or type code instead of a tail number, or the other way round.
  • Mark who flew the leg (PF or PM) but not whether you logged it as PIC or SIC.

None of this is hard on one page. Across a few thousand legs it adds up, which is why a plan helps.

Gather everything first

  1. Collect every printout and journey log, oldest first. Note any months that are missing and ask your scheduling or records office for them.
  2. Add any paper logbooks from before the line, so your totals start from zero.
  3. Scan or photograph each page. The scans are your backup, whatever you do next.

Decide how to fill each column

Pick one rule for each column and keep it for every leg:

  • Total time: most crew logs give block time. Use what your logbook has always used, and what your next employer's application asks for.
  • PIC and SIC: log them from your seat and duties on that leg under the rules that apply to you, not from the PF mark alone.
  • Airports: change each three-letter code to its four-letter code, for example MIA to KMIA.
  • Aircraft: set up each tail or type once in your app, then use the same name on every leg.

Build the file and import it

Put the legs into your app's import template, one row per leg. The steps for each app are on our ForeFlight and LogTen guides. Import one month first, check it, then do the rest.

Check your totals before an interview

  • Compare your totals by type with the summary pages of your printouts, if your company prints them.
  • Make sure PIC plus SIC add up the way you expect for each type.
  • Write the totals on our free interview hours checklist so they match on every form.
